What Is Notion?

Notion is a connected workspace that combines documents, wikis, databases, and project management. Everything in Notion is made of blocks: text, headings, images, tables, code, embeds, databases. You compose pages from blocks and link pages into a workspace that serves as your team’s single source of truth.

Notion replaced the need for separate docs (Google Docs), wiki (Confluence), project tracker (Trello), and spreadsheet (Airtable) tools for many teams. The tradeoff is that Notion does each of these things well but not best-in-class. It wins on integration: everything lives in one place, linked together.

Block-Based Editor

Every element is a block: paragraph, heading, image, code, callout, toggle, embed. Blocks can be dragged, nested, and rearranged. This is more flexible than a traditional doc editor but less structured than a form builder. The power comes from composability: any page can contain any combination of blocks.

Databases

Notion databases are structured collections with properties (text, date, select, relation, formula). They display as tables, boards, calendars, timelines, or galleries. This is where Notion replaces Airtable and Trello: a database with a board view is a kanban; with a calendar view, it’s a content calendar.

Wiki and Knowledge Base

Create interconnected pages that form a team wiki. Pages link to other pages, databases reference each other, and search finds everything. Version history tracks changes. For company knowledge that doesn’t fit in a single document, Notion’s wiki is a natural home.

Notion AI

Built-in AI for writing, summarizing, translating, and Q&A across your workspace. Ask questions about your docs and Notion searches its content to answer. AI assists with drafting, editing, and extracting information from existing pages.

Verdict

Notion is the best general-purpose workspace for teams that want everything in one place. The block-based editor is flexible enough for docs, wikis, project boards, and databases, and the integration between these modules is Notion’s real strength. A project page links to its tasks database, which links to its team members, which links to their individual pages.

The weakness is that Notion is a generalist. If you need the best document editor, Google Docs is better. The best project tracker: Linear or Jira. The best database: Airtable. Notion’s value is that it’s good enough at all of these and they live in one workspace.
