What Is Airtable?

Airtable is a database with the interface of a spreadsheet. It stores structured data — with typed fields (text, date, attachment, link to another record, formula) — but presents it in views anyone can use: grid, kanban, calendar, gallery, timeline, Gantt. No SQL required, no schema migrations, no DevOps.

Where a spreadsheet is a flat grid of cells, Airtable is a relational database. Tables link to each other through linked record fields. A “Projects” table links to a “Tasks” table, which links to a “Team Members” table. The relationships are real — click through from a project to its tasks to the people assigned.

Key Features

Views

The same data displayed differently: grid (spreadsheet), kanban (boards), calendar (dates), gallery (cards with images), timeline (Gantt-like), and form (data entry). Views are filters on the same underlying data — a change in any view updates all others.

Automations

Trigger-action automations that run when records change. When a task status changes to “Done”, send a Slack message. When a form is submitted, create records in multiple tables. Automations replace simple Zapier/Make workflows for Airtable-centric processes.

Interfaces

Build custom pages (dashboards, forms, detail views) on top of your data. Interfaces let non-technical users interact with Airtable data through a designed experience, not the raw spreadsheet grid. Useful for teams that need different views for different roles.

Integrations and API

REST API for reading and writing records programmatically. Integrations with Slack, Google Workspace, Salesforce, and hundreds of tools through native connectors, Zapier, and Make. The API is well-documented and has official client libraries.

Who Is This For?

Pros

  • Spreadsheet simplicity with database power
  • Multiple views (grid, kanban, calendar, timeline)
  • Built-in automations
  • Interfaces for custom dashboards
  • Good API and integrations
  • Free tier for small projects

Cons

  • 1000-record limit on free tier
  • Expensive at scale ($20-45/user/mo)
  • Not a real database (no SQL, limited queries)
  • Performance degrades with many records
  • Formula language is limited
  • 50,000-record limit per base (even paid)

Verdict

Airtable is the best tool for structured data that doesn’t need a developer. The spreadsheet-like interface makes it accessible to anyone, while the database features (typed fields, linked records, views, automations) make it powerful enough for real workflows. For content calendars, project trackers, CRM-lite, inventory management, and dozens of other use cases, Airtable is the right tool.

The limitation is scale. The 50,000-record limit and performance at high record counts mean Airtable works for operational data, not big data. If you need millions of records or complex queries, you need a real database. For everything else, Airtable is excellent.
